Being an Executive Assistant at Devereux Children’s Behavioral Services has its advantages- This position provides you the opportunity to be an important team member within the Leadership and Operational Teams. The position interacts with all levels of the Center and allows you to utilize high-level executive skills and project management.

This is a Full Time position with M-F day hours working out of administrative offices located in Malvern, PA.

The Executive Assistant:

  • Provides administrative support to the Executive Director to ensure that office operations are performed in an efficient and cost-effective manner.

  • Performs duties in a confidential manner, and is responsive to customer needs.

  • Maintains calendar and schedule for the Executive Director with understanding of priorities and relationships.

  • Maintains accurate, up-to-date files, including project files, databases, and project schedules/timelines needed to ensure the effective and efficient management of department activities.

  • Prepares presentation materials for use by the Executive Director, as needed, prepares and disseminates reports, prepares correspondence and responds to routine communication on behalf of the Executive Director.

  • Ensures a continuous flow of information to appropriate parties.

  • Manages office activities and serves as the project manager for special projects, promptly notifying supervisor of identified discrepancies, delays or other activities affecting outcome.

  • Serves as the point of contact with Corporate and other Center management, project team members, and external parties.

  • Assists with the planning, coordination, and implementation of special events, meetings, conferences, retreats, etc.

  • Handles the answering of phones in the administration building, responds to inquiries and forwards messages to the Executive Director and other individuals, as appropriate, in a timely fashion.

  • Supervises and assists in the maintaining of records and reports for Devereux departments on a regularly scheduled basis. Compiles information from other unit/departmental staff for completion of various reports

Devereux Pennsylvania Children’s Behavioral Health Services (CBHS) focuses its efforts on intensive services for at-risk children and adolescents with emotional, behavioral and cognitive differences. Qualifications

Education: High School Diploma or General Equivalency Diploma. Bachelor’s degree preferred. Proficient in Microsoft applications.

Experience : Previous paid experience in the capacity of Administrative Assistant, Events Coordinator, or other position with similar responsibilities - reporting to leadership level. Outstanding organizational skills and ability to prioritize and multi-task, to maximize efficiency. Excellent oral and written communication skills. Ability to effectively interact with all levels of the organization. Sound decision-making and problem solving skills. Proficiency in the use of Microsoft Word, Excel, Database, and presentation software. Must possess and maintain valid driver's license, and be at least 21 years of age.
