The Devereux Advanced Behavioral Health Legal Affairs department, located in King of Prussia, Pa., is looking for an experienced, enthusiastic and creative professional to join our team. As Devereux’s Executive Assistant, Legal Affairs , you will have an opportunity to work under general direction, providing high-level administrative support for the General Counsel and all staff of the Office of Legal Affairs. .
In this role, you will assist in-house counsel with the coordination and tracking, scanning, and review of correspondence of litigation files and the preparation of various reports.
Assist with projects acting as secretary and note taker for Committee meetings;
Perform administrative support duties as necessary, including making travel arrangements, scheduling and arranging meetings and conference calls, and monitoring attorneys’ calendars
Be the first point of contact for a majority of calls and email directed to the legal department with an understanding and ability to prioritize calls and electronic requests from internal and external stakeholders.

In this role you will:
Screen and direct incoming calls to the General Counsel and staff of the Office of Legal Affairs. manage calendars and day-to-day meetings planning. Anticipates office needs and escalates important matters as necessary.
Provide overall case file maintenance, ,, coordination of meetings with senior leadership and external parties, document preparation and revisions, administrative duties including, but not limited to, scanning, faxing, copying, and indexing documents, understanding and directing hard copy and electronic mail. and gathering and organizing data from various databases maintained by Devereux. ;
Perform general office management including processing of invoices for payment of outside counsel fees, litigation costs, and case settlements; understanding and handling new and threatened litigation matters sent to the legal department.
Maintains memberships, license and certifications for each member of the legal department.
Conduct legal and information data research, using all available resources; Drafts general correspondence, routine notices, memoranda and reports.
Coordinate and prepare Board Resolutions and materials for the Board of Trustee and other meetings. Provides support to achieve team/company goals;
Compose and prepare confidential reports, board communications, spreadsheets, presentations, research reports and other complex documents;
Coordinate, schedule, and organize both on and off-site meetings, including material coordination, correspondence with guests, hospitality, securing equipment, and catering services from start to finish;
Assure the highest level of confidentiality on sensitive matters concerning the Board of Directors, Senior Leadership Team, and the organization;
Make travel arrangements, prepare and submit expense reports. Process transactions in a timely manner.
Liaison with Senior Executive Assistants and provide backup as necessary.
Maintain office supplies by checking stocks; place and expedite orders; evaluate new products.

Minimum of two years of college; degree preferred.
Minimum of two years’ experience in a law office or corporate legal department, working effectively with attorneys, paralegals, senior management and other administrative personnel and internal/external customers,knowledge and understanding of legal procedures and formats;
Experience interfacing with all levels of employees, C-Suite Executives, Vice Presidents. Managers and Executive Directors.
The ability to work in a fast paced confidential environment and coordinate multiple projects/tasks at a time.
Demonstrated proficiency in computer software applications, including word, spreadsheet, presentation software and legal software (i.e., Office 365, Outlook, Microsoft Word, PowerPoint, Excel, and Lexis);
Experience with hard copy filing and E-Filing in Civil Courts, Criminal Courts, and administrative agencies. communicating with court clerk’s office and District Attorney's Office to obtain information, etc.; organizing documents for internal and outside counsel for discovery;
Proven ability to perform internet fact research;
Familiarity with preparation of formal pleadings, briefs and other court and agency documents filed in an civil complaint, agency action or government investigation (e.g., discovery documents, subpoenas);
Ability to be adaptable, flexible and change activities quickly;
Must have professional demeanor and judgement and superior written and oral communication expertise;
The ability to maintain the confidentiality of information regarding clients and litigation matters, as well as an ability to take initiative and demonstrate the use of independent judgement on assigned tasks.
